Who we are

Southeast Tax Services, LLC (trading as Southeast Tax Services, “we,” “us,” or “the firm”) provides tax preparation and filing, tax planning, IRS resolution, notary, and business formation services to clients in the Atlanta Metro area of Georgia. This policy explains what information we collect through https://www.setaxfirm.com and our client communications, how we use it, and the choices you have.

Information we collect

We collect only what we need to serve you. Depending on how you use the site, that may include:

  • Your name, email address, and phone number
  • Appointment details — date, time, location or meeting mode, and service type
  • Your refund preference (for example, direct deposit, a check printed in office, or a FasterMoney® Visa® Prepaid Card)
  • Tax documents you upload through our secure client portal
  • Any notes, questions, or additional details you choose to provide in a form
  • Information you submit when requesting a rate quote or refund estimate

We do not ask for payment card details through this website.

How we use your information

  • To schedule, confirm, reschedule, or cancel your appointment
  • To prepare and file your tax returns and perform the services you engage us for
  • To communicate with you about your engagement by email, phone, or SMS
  • To confirm receipt of documents you upload and request anything still missing
  • To respond to questions and provide quotes or estimates you request
  • To meet our legal, regulatory, and professional obligations as a tax preparer

We do not sell your information, and we do not use client contact information for third-party marketing.

Mobile information and SMS

Southeast Tax Services LLC does not sell, rent, share, or disclose mobile phone numbers, SMS opt-in data, or SMS consent to third parties or affiliates for marketing or promotional purposes. Service providers acting solely on behalf of Southeast Tax Services LLC may process information only as necessary to provide contracted operational services and may not use mobile information or SMS consent for their own marketing or promotional purposes. SMS opt-in data and consent are not transferred to third parties or affiliates for marketing purposes.

SMS consent is used solely to provide service-related communications from Southeast Tax Services LLC, including appointment, document, and tax-service status notifications. SMS consent is optional and is never a condition of receiving our services. You enroll only by checking an unchecked SMS consent box on a form on this website. If you opt in, message frequency varies based on client activity. Message and data rates may apply depending on your mobile phone service plan. You can stop messages at any time by replying STOP, or reply HELP for assistance. See our SMS Messaging Terms for full program details.

Document storage and security

Tax documents you upload are held in encrypted storage. Access is limited to firm staff who need it to perform your engagement; the storage is not publicly listable or browsable, and files are retrieved only through time-limited, authenticated links.

No method of transmission or storage is perfectly secure, but we take reasonable administrative and technical measures to protect your information.

Service providers

We use a small number of vetted providers to operate the practice — website and database hosting, encrypted document storage, email delivery, and SMS delivery. They process information only on our instructions and only to provide those services. We do not share client information with third parties for their own marketing.

We may disclose information where required by law, court order, or the rules governing tax practitioners.

Cookies and analytics

We do not use third-party advertising cookies, ad trackers, or cross-site tracking on this website. The site stores a small amount of data in your browser’s local storage so it can remember whether you have already seen a homepage announcement and, if you are a staff member, keep you signed in to the firm console.

We record anonymous, aggregate counts of how homepage announcements are viewed, dismissed, or completed. These counts are not linked to your name, email, or phone number and are not shared with advertisers.

Google Analytics

We use Google Analytics to understand how visitors use this website. It sets cookies in your browser and collects information such as the pages you view, an approximate location derived from your IP address, your device and browser type, and how you arrived at the site.

We configure it so that full page addresses containing query parameters are not transmitted — only the page path is sent — and no information you type into a form is sent to Google Analytics. It is not used in the client document portal or in the administrative areas of the site.

Information collected through Google Analytics is processed by Google under its own terms. You can opt out by installing Google’s browser opt-out add-on or by using your browser’s cookie controls to block or delete these cookies.

How long we keep information

We keep client records for as long as needed to provide services and to satisfy the record-retention obligations that apply to tax practitioners. Tax returns, client identity records, and mandatory due-diligence documents are retained for at least three years from the return due date; we keep files for seven years to cover extended IRS audit periods.

Your rights

You may request a copy of the personal information we hold about you, ask us to correct it, or ask us to delete it. Deletion requests are honored except where we are required by law or professional rules to retain records. To make a request, call 678-883-5100 or write to us at the privacy contact below, and tell us what you would like us to do.

You may also withdraw consent for SMS or email communications at any time without affecting the services you have engaged us for.

Children

This website is not directed to children, and we do not knowingly collect information from children except as part of a family tax return provided by a parent or guardian.

Changes to this policy

If we update this policy, we will change the “Last updated” date at the top of this page. Material changes will be communicated to active clients.
